Reading time: 3 minutes
So, here I am, a virtual assistant who’s fairly new to the game. I’ve got my trusty to-do lists, calendars, and productivity apps all set up, yet somehow, I still find myself diving down the rabbit hole of social media (sometimes) when I should be working on that client report. Does that sound familiar? Don’t worry, even the most organised people get bitten by the procrastination bug. But here’s the thing – procrastination is actually rooted in psychology, and once we understand why it happens, we can (try) to get rid of it.
Why Procrastination Happens (Even to the Super-Organised)
Fear of Failure or Perfectionism
Perfectionism can be a double-edged sword. While aiming for high standards is generally a good thing, it can sometimes lead to procrastination. Some people might delay starting a task if they’re worried it won’t meet their own expectations. This desire for perfection is often rooted in a fear of failure, making them hesitant to even start! Overthinking and obsessing over small details is very common.
Task Overwhelm
For anyone juggling multiple projects or responsibilities, the to-do list can sometimes feel like a novel. When faced with a mountain of tasks, it’s common for people to feel paralysed and unsure where to start. This sense of overwhelm can lead to procrastination, stress, lack of clarity and even some tears!
Lack of Structure
The flexibility of working independently, like in a virtual assistant role, is often a big perk – no rigid office hours or mandatory schedules. However, without a structured environment, some people may find that some of the tasks will be slipping down the priority list! Some self-discipline is required here!
How I Overcome Procrastination
Breaking Tasks Into Smaller Steps
When I’m starting out a project, I try to break it into bite-sized steps. It makes the whole thing feel so much more manageable. Instead of panicking over a massive to-do, I focus on small wins. Checking things off one by one helps me feel like I’m making progress, and that momentum is everything. My partner has introduced me to this disposable ‘white boards’ where I can just map stuff out, which just makes it so much clearer for me.
Embracing Imperfection
As I mentioned earlier, I am a perfectionist and trying to embrace imperfection is not always easy – but I am trying! I used to get stuck (a lot) in the “It has to be perfect” trap, but now I remind myself that done is better than perfect. No one, not even my clients, expects me to be flawless 100% of the time. Getting things done and improving them later is way better than endlessly delaying because I want every little detail to be perfect.
Time Management Techniques
In my calendar there a few things that don’t ever change: meditation and reading time every morning. Then, there is always a day completely free where my partner and I do not speak about anything business-y like and we just take time for ourselves and the dog, of course! Obviously, it is not perfect – not by a long shot, but having things in place and regular breaks does help me to manage my day a bit better.
Setting Clear Deadlines
Flexibility is awesome, but I’ve found that setting clear deadlines is essential. Giving myself firm deadlines, even if they’re self-imposed, helps create urgency and keeps me moving.
Final Thoughts
Procrastination doesn’t mean I’m disorganised—it’s just part of the game, and even the most efficient VAs or any other businesses struggle with it from time to time. But I’ve learned how to recognise when it’s creeping in and how to tackle it with practical strategies. So, if you ever catch yourself procrastinating, just take a deep breath, break things down, and remember: done is better than perfect!
